Is this invoice generator legal to use in Japan?+
Yes. Since October 2023, Japan uses the Qualified Invoice Retention System (適格請求書等保存方式). To claim input tax credit, buyers need invoices from registered Qualified Invoice Issuers (with T-number). KipBill's generator supports the required fields — register with your tax office to become a Qualified Invoice Issuer.
What Consumption Tax rate should I use on my invoices?+
Japan's standard Consumption Tax (消費税) rate is 10%. A reduced rate of 8% applies to food and beverages (excluding alcohol and dining out) and subscription newspapers published at least twice per week. Some supplies are exempt or non-taxable.
Do I need to register for Consumption Tax before issuing invoices in Japan?+
Registration for Consumption Tax is required once taxable sales exceed ¥10 million in a base period. To issue Qualified Invoices (needed for B2B input credit), you must separately register with the National Tax Agency as a Qualified Invoice Issuer and receive your T-number.
What information must every invoice include in Japan?+
Qualified Invoices require: issuer name and T-number; transaction date; description; taxable amount per rate (10% / 8%); tax amount per rate; and recipient name. Simplified Qualified Invoices (for retail, taxis, etc.) omit the recipient name.
Can I issue invoices in a currency other than JPY?+
Yes. Japanese businesses can invoice in foreign currency when doing cross-border trade. For domestic supplies, the JPY equivalent of the Consumption Tax amount must be shown on the invoice. KipBill supports JPY and 30+ currencies with automatic formatting.
How long do I have to keep invoice records in Japan?+
The National Tax Agency requires business records, including invoices, to be retained for 7 years. Electronic storage is permitted under the Electronic Books Maintenance Act (e-Bunshoho).
