Is this invoice generator legal to use in the Netherlands?+
Yes. Dutch invoicing is regulated by the Wet op de omzetbelasting 1968 (Wet OB). KipBill's generator produces PDFs meeting Wet OB requirements when you include your KvK, BTW number, sequential invoice number, and BTW breakdown.
What BTW rate should I use on my invoices?+
The Netherlands' standard BTW rate is 21%. A reduced rate of 9% applies to food, books, medicines, public transport, and hairdressers. Some supplies are exempt (education, healthcare, insurance). Override the rate per item where needed.
Do I need to register for BTW before issuing invoices in the Netherlands?+
You register for BTW with the Belastingdienst when you register your business with the KvK. The small-business scheme (KOR) lets you opt out of BTW up to €20,000 turnover/year and state this on invoices ("Geen BTW in rekening gebracht — KOR").
What information must every invoice include in the Netherlands?+
Wet OB Art. 35a requires: issue date, sequential invoice number, supplier name and address, supplier BTW number, customer name and address (plus BTW number for intra-EU B2B), description, quantity, unit price, BTW rate, taxable base, BTW amount, and total.
Can I issue invoices in a currency other than EUR?+
Yes. Dutch invoices can be issued in any currency, but the BTW amount must also be shown in EUR at the reference exchange rate. For intra-EU B2B, reverse-charge applies with the customer's BTW number on the invoice.
How long do I have to keep invoice records in the Netherlands?+
The Dutch Belastingdienst requires business records, including invoices, to be retained for 7 years. Records related to real estate must be kept for 10 years. Electronic storage is allowed if integrity and readability are maintained.
