Is this invoice generator legal to use in Poland?+
Yes. Poland's VAT Act (Ustawa o VAT) sets requirements for faktury. KipBill's generator produces VAT-compliant PDFs when you include your NIP, sequential invoice number, VAT breakdown, and delivery date. Structured e-invoicing via KSeF (National e-Invoicing System) is being phased in and will be mandatory for B2B.
What VAT rate should I use on my invoices?+
Poland's standard VAT rate is 23%. Reduced rates: 8% (construction housing, some agricultural products, passenger transport), 5% (books, basic food, baby products). 0% for exports and intra-EU supplies. Some supplies are exempt (medical, education, financial). Override per item as needed.
Do I need to register for VAT before issuing invoices in Poland?+
VAT registration in Poland is mandatory once taxable turnover exceeds PLN 200,000 in a year. Below this threshold, registration is voluntary. Non-VAT-registered businesses issue invoices without VAT number and do not charge VAT; they must mark them as "VAT-exempt" citing the relevant article.
What information must every invoice include in Poland?+
Polish VAT Act requires: issue date and delivery date; unique sequential invoice number; supplier name, address, NIP; customer name, address, NIP (for B2B); description; unit of measure; quantity; unit net price; total net per tax rate; VAT rate and amount; gross total; discount details if applicable.
Can I issue invoices in a currency other than PLN?+
Yes. Polish invoices can be issued in foreign currency, but VAT amount must also be shown in PLN at the NBP reference exchange rate from the day before the tax obligation arises. KipBill handles multi-currency formatting.
How long do I have to keep invoice records in Poland?+
The Polish Tax Ordinance (Ordynacja Podatkowa) requires invoices and accounting records to be retained for 5 years from the end of the calendar year in which the tax return was filed. Electronic storage is permitted with data integrity guarantees.
