FAQ — Invoicing in Spain

Is this invoice generator legal to use in Spain?+

Yes. Royal Decree 1619/2012 regulates invoicing in Spain. KipBill's generator produces PDFs meeting the RD requirements when you include NIF/CIF, sequential invoice number, IVA breakdown, and (if applicable) IRPF withholding.

What IVA rate should I use on my invoices?+

Spain's standard IVA rate is 21%. Reduced rate: 10% (food, transport, hospitality, new housing). Super-reduced: 4% (essential food, books, medicines). Some supplies are exempt (medical, education, rent of residential housing). Override the rate per item as needed.

Do I need to register for IVA before issuing invoices in Spain?+

You register for IVA when you file Modelo 036/037 with the Agencia Tributaria to start your activity. Freelancers (autónomos) and companies charge IVA from day one unless their activity is exempt. There is no general small-business VAT exemption like in other EU countries.

What information must every invoice include in Spain?+

RD 1619/2012 requires: issue date, unique invoice number (per series), supplier NIF and name, customer NIF and name (for B2B and over €400 B2C), description, unit price, total excluding IVA, IVA rate and amount, IRPF withholding (if applicable), and total.

Can I issue invoices in a currency other than EUR?+

Yes. Spanish invoices can be issued in any currency. When issuing in a foreign currency, the IVA amount must also be shown in EUR at the reference exchange rate. KipBill supports 30+ currencies with automatic formatting.

How long do I have to keep invoice records in Spain?+

The Spanish Código de Comercio (Art. 30) and General Tax Law require invoices to be retained for at least 6 years. For tax inspection purposes, the statute of limitations is 4 years, but prudent retention is 6+ years.
